HR Administrator

JOB TITLE: HR Administrator

Purpose:

Managing employee data, supporting HR processes, and ensuring compliance with labor laws, while serving as the first point of contact for HR-related inquiries.

DUTIES & RESPONSIBILITIES:

Key Responsibilities:

Recruitment

  • Advertise vacancies, schedule interviews, complete recruitment checks and ensure starter packs are submitted on time to payroll for payments
  • Liaise with recruitment agencies and complete candidate screening and shortlisting
  • Conduct interviews for junior positions
  • Prepare contracts and related employment documents
  • Prepare onboarding and ensure all employees receive induction

 

     Skills Development

  • Source and liaise with training providers in line with the Annual Training Plan
  • Schedule training and manage the training centre, ensuring that all required resources are made available
  • Ensure that all training records are in place and properly filed

 

     IR

  • Prepare IR related documents
  • Serve as the HR representative in disciplinary enquiries (depending on transgression)
  • Provide support and guidance to line managers, including note taking in investigations or formal meetings

 

     Admin

  • Prepare and manage documentation ensuring all records are filed in a well organised manner
  • Conduct policy and related workshops
  • Prepare weekly, monthly and annual reports
  • Manage the noticeboards ensuring they are regularly updated
  • Respond to general queries and escalate where necessary
  • Serve as an alternative to the Wage Officer
  • Upload personnel management activities onto Sage
  • Maintain own continuing professional development, keeping up to date with legal requirements and relevant HR developments
  • Maintain confidentiality of information relating to the Company and its employees – comply with POPI Act
  • Any other work-related duties as required by your manager

MINIMUM QUALIFICATION:

  • HR Management diploma/degree or related qualification
  • Computer literacy (MS Office applications, in particular Excel)
  • Thorough knowledge of South African labour laws

MINIMUM EXPERIENCE:

  • Previous HR administrative experience   (2 – 3 years)
  • Knowledge and experience on Sage 300 Payroll and HR database system
